2. Information we may collect

Depending on your relationship with us, we may collect:

  • your name, address, email address and telephone number;

  • employment, affordability, payment, rent, deposit and transaction information;
  • tenancy, inspection, maintenance, repair and compliance records;
  • correspondence, enquiries, complaints and records of our dealings with you;
  • information supplied by referees, landlords, agents, contractors, public bodies or service providers;
  • technical information about your use of our website, such as IP address, browser information and cookie choices; and
  • CCTV images where cameras are lawfully used at a managed property and suitable notices are displayed.

We may occasionally need health, accessibility or other sensitive information, for example to make a reasonable adjustment or respond to an emergency. We will only use this information when necessary and where data-protection law allows us to do so.

3. How we obtain information

We may receive information:

  • directly from you through our website, email, telephone, viewings, applications or signed documents;
  • from a landlord, tenant, guarantor, referee or joint applicant;
  • from referencing, identity, fraud-prevention or credit-check providers;
  • from contractors, inventory clerks, utility providers, local authorities and deposit schemes; or
  • from public registers and other lawful public sources.

If another person gives us your details, we will provide privacy information when required by law.

4. Why we use your information

We use personal information only when we have a lawful reason to do so. Our main purposes and lawful bases are:

Where we rely on legitimate interests, we consider whether our use is necessary, proportionate and consistent with what you would reasonably expect. You may object to this processing in some circumstances.

We do not make decisions with legal or similarly significant effects about you solely by automated means unless we tell you separately and the law allows us to.

5. Who we may share information with

Where necessary and lawful, we may share information with:

  • landlords, tenants, applicants, guarantors and authorised representatives;
  • referencing, identity-verification and fraud-prevention providers;
  • tenancy-deposit protection schemes;
  • contractors, tradespeople, inventory clerks, cleaners and safety inspectors;
  • utility companies, councils, government departments and HM Revenue & Customs;
  • banks, payment providers, accountants, insurers, solicitors, courts and debt-recovery providers;
  • our redress scheme and client-money protection scheme;
  • website, email, document-storage, customer-management and other IT providers; and
  • regulators, police or other authorities where disclosure is required or permitted by law.

We only share what is reasonably necessary. Service providers acting for us must use information only for the agreed purpose and protect it appropriately. We do not sell personal information.

6. International transfers

Some technology providers may store or access information outside the United Kingdom. Where this happens, we use a lawful transfer mechanism, such as UK adequacy regulations or approved contractual safeguards, and take reasonable steps to protect the information.

7. How long we keep information

We retain information only for as long as it is needed for the purpose for which it was collected and to meet legal, accounting, insurance and dispute-resolution requirements. Our normal guide is:

  • general enquiries: up to 24 months after the last meaningful contact;
  • unsuccessful tenancy or service applications: normally up to 12 months, unless a longer period is justified;
  • tenancy, landlord-management and related property records: normally up to six years after the relationship or tenancy ends;
  • financial and accounting records: for the legally required period, normally at least six years;
  • complaint and legal-claim records: for as long as reasonably needed to deal with the matter and applicable limitation periods; and
  • CCTV recordings: for [INSERT NORMAL CCTV RETENTION PERIOD], unless footage is required for an incident, complaint or legal claim.

Some records may be kept for longer where required by law or where a dispute, investigation or safeguarding issue is ongoing. We securely delete or anonymise information when it is no longer required.

8. How we protect information

We use proportionate organisational and technical measures to protect personal information against loss, misuse, unauthorised access, alteration and disclosure. Access is limited to people and providers who need the information for legitimate business purposes.

No internet or email system is completely secure. Please avoid sending sensitive documents through an insecure channel where a safer method has been provided.

9. Your rights

  • Functional cookies to remember optional preferences or enable enhanced features.

Website Terms of Use

1. About these terms

These terms apply when you use wemanageproperties.co.uk. By continuing to use the website, you agree to these terms. If you do not agree, please stop using the website.

The website is operated by WE MANAGE GROUP LTD, trading as We Manage Properties. Our company and contact details appear in the Regulatory Information section above.

2. Website information

We take reasonable care to keep website information clear and current, but it is provided for general information only. It is not legal, tax, financial, surveying or other professional advice and should not be relied upon as a substitute for advice about your circumstances.

Property descriptions, availability, rental figures, valuations, service descriptions and regulatory information may change. You should verify important information with us before acting on it.

3. No service contract created

Using the website, completing a form or requesting a consultation does not create a landlord-management agreement, agency relationship, tenancy or other service contract. Property-management and letting services begin only when the relevant parties agree and sign the required documents.

If there is a conflict between this website and a signed agreement, the signed agreement will take priority for the services it covers.

4. Acceptable use

You must not:

  • use the website unlawfully or fraudulently;
  • attempt to gain unauthorised access to the website, server or connected systems;
  • introduce viruses, malicious code or harmful material;
  • misuse forms, submit knowingly false information or impersonate another person;
  • scrape, copy or reuse substantial website content without permission; or
  • interfere with the website’s operation or another person’s use of it.

We may restrict access where we reasonably believe the website is being misused.

5. Intellectual property

Unless stated otherwise, the website and its text, branding, graphics, design and original materials belong to us or are used under licence. You may view or print reasonable extracts for personal, non-commercial use. You must not reproduce, modify, distribute or commercially exploit website material without prior written permission.

6. Third-party links

Links to third-party websites are provided for convenience. We do not control those websites and are not responsible for their content, availability, security or privacy practices. A link does not necessarily mean that we endorse the third party.

7. Availability and liability

We do not guarantee that the website will always be available, uninterrupted, secure or free from errors. We may suspend, withdraw or change any part of it.

To the fullest extent permitted by law, we are not responsible for loss arising solely from reliance on general website content or from website unavailability, viruses or third-party links. Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for fraud, fraudulent misrepresentation, or death or personal injury caused by negligence.

Your statutory rights are not affected.

8. Governing law

These website terms are governed by the law of England and Wales. The courts of England and Wales will have jurisdiction, subject to any mandatory rights you have as a consumer.

Complaints Procedure

We aim to provide a reliable and professional service. If something has gone wrong, please tell us so that we can investigate and try to put it right.

Step 1 — Contact us

Send your complaint to:

Email: info@wemanageproperties.co.uk
Subject: Formal complaint
Post: 3 Westrow Gardens, Seven Kings, Ilford, Essex, IG3 9NE

Please include your name, property address, contact details, what happened, relevant dates, supporting documents and the outcome you are seeking.

Step 2 — Acknowledgement and investigation

We aim to acknowledge a formal complaint within three working days. A person with sufficient authority will review the complaint, relevant records and any response from staff or contractors involved.

We aim to provide a written outcome within 15 working days. If the matter is complex or more information is required, we will explain the reason for the delay and provide an updated timescale.

Step 3 — Internal review

If you remain dissatisfied, you may request an internal review within 15 working days of our response. Please explain which parts of the outcome you dispute. Where possible, the review will be handled by someone not responsible for the original decision.

We will then issue our final written response, sometimes called a final viewpoint letter.

Step 4 — Independent redress

If we cannot resolve your complaint, or eight weeks have passed since you first complained, you may be able to refer the matter to our redress scheme:

Scheme: [THE PROPERTY OMBUDSMAN / PROPERTY REDRESS SCHEME]
Membership number: [NUMBER]
Website: [SCHEME WEBSITE]
Telephone/email: [SCHEME CONTACT DETAILS]

The scheme’s eligibility rules and referral time limits apply. Using this process does not remove any other legal rights you may have.

We keep complaint information confidential as far as reasonably possible, although it may be shared with people who need it to investigate the complaint or with our redress scheme, insurer, legal adviser or regulator.

Equality and Accessibility Statement

We aim to treat clients, applicants, tenants, contractors and members of the public fairly and respectfully. We do not unlawfully discriminate because of age, disability, gender reassignment, marriage or civil partnership, pregnancy or maternity, race, religion or belief, sex or sexual orientation.

We aim to make our services and website reasonably accessible. If you need information in another format or require a reasonable adjustment when contacting us, attending a viewing or using our services, please contact info@wemanageproperties.co.uk or call 07751 758706.
